SOLARA PET IMAGING

Terms of Service

Effective Date: October 23, 2026  •  Version 3.0

1. About Solara Pet Imaging

Solara Pet Imaging LLC ("Solara Pet Imaging," "we," "us," or "our") is a mobile veterinary ultrasound service operating in South Florida. On referral from a licensed veterinarian, our credentialed veterinary technologists perform ultrasound examinations at the referring veterinary clinic or at the pet owner's home. Every study is interpreted by a board-certified veterinary radiologist (DACVR) through an independent teleradiology service.

Solara Pet Imaging is not a veterinary practice and does not employ licensed veterinarians. We do not diagnose, prescribe, or provide veterinary medical treatment. Every study is performed in support of a Florida-licensed veterinarian's clinical decision-making.

2. Acceptance of Terms

You accept these Terms of Service by checking the acknowledgment boxes on our referral form or, if your veterinary practice booked for you, by checking the boxes and typing your name on our consent form. These terms are a legally binding agreement between you and Solara Pet Imaging LLC. You must be at least 18 years of age to book our services or sign the consent form.

We record your assent, including the date and time, the version of these terms in effect, the acknowledgments you accepted and, on the consent form, your typed signature. If you do not agree to these terms, do not proceed.

3. Services Provided

Solara Pet Imaging offers the following scheduled, non-emergency ultrasound examinations for dogs and cats. Your veterinarian selects the exams on the referral.

  • Complete Abdominal Survey: liver, gallbladder, spleen, kidneys, urinary bladder and gastrointestinal tract
  • Echocardiogram: heart chambers, valves, wall thickness and major vessels. Performed at a veterinary clinic only, on referral from the practice.
  • Triage / FAST: focused abdominal (AFAST) and/or thoracic (TFAST) assessment for free fluid
  • Cervical & Neck Soft Tissue: thyroid and parathyroid glands, cervical lymph nodes, salivary glands and major neck vessels
  • Superficial Soft Tissue: suspected foreign bodies, swelling, fluid collections and masses at a location noted on the referral
  • Reproductive & Targeted: pregnancy confirmation and focused bladder evaluation; ultrasound guidance for the veterinarian's cystocentesis at a clinic
  • Rush Read: optional prioritized radiologist report delivery for any exam. Rush Read changes report turnaround only; it is not emergency service.

All services are by appointment only. We do not offer emergency, walk-in, or same-day dispatch services.

4. What We Are Not

Important. Solara Pet Imaging is not a veterinary clinic, animal hospital, or veterinary practice. We do not provide veterinary medical advice, diagnosis, or treatment. Reports generated through our service are intended to support your veterinarian's clinical decision-making and do not constitute a veterinary diagnosis, prognosis, or treatment recommendation. All clinical decisions must be made by a licensed veterinarian.

Solara Pet Imaging is a scheduled service and is not for emergencies. If your pet needs urgent care, contact your veterinarian or the nearest emergency veterinary hospital immediately.

5. Referrals, Booking and Appointments

5.1 Referral Required

Every examination requires a referral from a licensed veterinarian. You may upload your veterinarian's referral on our referral form, or your veterinary practice may submit the referral for you.

5.2 How Bookings Are Confirmed

  • Home visits you book yourself: your booking is confirmed when your payment is received and you choose an appointment time.
  • Exams booked by your veterinary practice, and in-clinic exams you book yourself: your booking is confirmed when you have accepted these terms, signed the consent form where required, and saved a payment card.
  • Clinic days: a clinic day goes ahead when enough patients are booked with consent given and a card saved. We confirm each clinic day at least 48 hours in advance. If a clinic day does not go ahead, we will contact you to reschedule, and you will not be charged.

5.3 Arrival Window (Home Visits)

For home visits, we provide an estimated arrival window. While we make every effort to arrive within this window, actual arrival times may vary due to traffic, prior appointment duration, and other factors beyond our control. We will notify you of significant delays.

5.4 Access and Attendance

For home visits, you are responsible for giving our technologist safe and timely access to your home at the scheduled time, and a responsible adult (18+) must be present for the entire appointment. For clinic exams, you are responsible for bringing your pet to the clinic at the scheduled time. If our technologist cannot gain access to your home within the confirmed window after documented contact attempts, or your pet does not arrive for a clinic appointment, the appointment is treated as a no-show under Section 7.

5.5 Pet Cooperation

While most pets tolerate ultrasound examinations well, Solara Pet Imaging cannot guarantee image quality or exam completion in all cases. Our technologist will make every reasonable effort to complete the exam safely and will stop if your pet becomes distressed. If the exam cannot be completed, Section 7.3 applies.

5.6 Bite History and Animal Behavior Disclosure

You must disclose any known history of biting, aggression, or unpredictable behavior when the referral is submitted. Failure to disclose known dangerous animal behavior may affect your eligibility for a refund under Section 7 and is covered by Section 11.

6. Payment and Pricing

6.1 Pricing

The pet owner pays Solara Pet Imaging directly. Referring veterinary practices are not invoiced. Current prices are:

  • First exam: $600, any exam from Section 3
  • Each additional exam at the same visit: $149
  • Rush Read: $149
  • Travel fee (home visits only): $0 to $60, depending on your ZIP code

Prices may change, but the price shown to you when you pay or authorize payment will be honored for that appointment.

6.2 Travel Fee

Home visits in some ZIP codes carry a travel fee. Any travel fee is shown before you pay. You will never be charged a travel fee you did not see before completing payment. There is no travel fee for exams at a veterinary clinic.

6.3 When You Are Charged

  • Home visits you book yourself: you pay in full when you book, before choosing an appointment time.
  • Exams booked by your veterinary practice, and in-clinic exams you book yourself: you save a payment card in advance and authorize us to charge it for the estimated total shown to you. Nothing is charged until the exam is complete. If the exams performed differ from those on the referral, we will contact you before charging a different amount.
  • If a charge is declined: we will email you a secure link to complete payment.

6.4 Payment Processing and Methods

All payments are processed securely through Stripe. We do not store your full card number. We accept major credit and debit cards, Apple Pay and Google Pay. Where you pay in full when booking, pay-over-time options such as Klarna and Affirm may also be offered; those options are provided by third parties under their own terms, and Solara is not a party to them. Pay-over-time options are not available where a card is saved and charged after the exam.

6.5 Technologist Tips

Where offered, you may add an optional tip for your technologist when you pay. Tips are voluntary, are not required to complete your booking, and are passed in full to the technologist who performs your exam. If your appointment is cancelled and refunded in full, your tip is refunded as well.

6.6 Community Care Contributions

An optional contribution to our Solara Community Care program may be offered at checkout. Contributions are voluntary, are not required to complete your booking, and are not tax-deductible. See Section 12.

Exam fees are not refunded where images were acquired and sent to the radiologist.

7.6 Standard Report Delivery

Standard reports are typically delivered within 48 hours after the images are sent to the radiologist. If a standard report is not delivered within 48 hours due to circumstances within our control, a partial refund may be offered on request.

8. Preparation and Consent

8.1 Fur Clipping

You acknowledge and consent that a small area of fur may be clipped by our technologist so the ultrasound gel can reach the skin. This is standard veterinary imaging practice. The area clipped is limited to the exam region and fur grows back normally.

8.2 Ultrasound Gel

Ultrasound gel is applied to your pet's skin during the examination. The gel is water-based and safe for animals. We recommend having a towel available for home visits. We are not responsible for gel contact with furniture or furnishings.

8.3 Medical History Accuracy

You and your veterinarian are responsible for providing accurate and complete medical history information for your pet, including any known aggressive behavior, bite history, or medical conditions. Inaccurate or incomplete information may affect the quality of the radiologist's interpretation. Solara Pet Imaging is not liable for interpretive limitations arising from incomplete information provided to us.

8.4 Informed Consent

By accepting these terms, you confirm that you are the legal owner of the animal or have legal authority to authorize the examination. You consent to the examination selected on the referral being performed by a credentialed veterinary technologist, including gentle positioning, and to the images being sent to a board-certified veterinary radiologist for interpretation. Our technologist will explain the exam and confirm your consent before starting, and will stop if your pet becomes distressed.

8.5 Referral and Report Sharing

Because every exam is referred by a veterinarian, the radiologist's report and images are shared with the referring veterinarian named on the referral, and a copy of the report is sent to you. Your consent to this sharing is required to book. See our Privacy Policy for details.

9. Service Limitations

9.1 Geographic Availability

Home visits are available only within our service areas, confirmed by ZIP code when you book. We may modify our service areas at any time. Travel fees apply in some ZIP codes and are shown before payment.

9.2 Species and Size

Our services are for dogs and cats. Home visits are for cats and dogs under 25 lb. Pets 25 lb and over, and all echocardiograms, are examined at a veterinary clinic, where the clinic's team can assist. We may decline service for animals we determine cannot be safely examined.

9.3 Image Quality

Ultrasound image quality may be affected by factors including body condition, coat density, patient cooperation, anatomical variation, and underlying pathology. We cannot guarantee diagnostic image quality in all cases and will communicate any significant limitations at the time of the exam.

9.4 Report Limitations and Urgent Findings

Reports are based solely on the ultrasound images acquired at the time of the examination and do not account for physical examination findings, laboratory results, or other diagnostic information. Reports are intended to supplement, not replace, a comprehensive veterinary evaluation.

Reports are delivered by email to the referring veterinarian when the radiologist completes them, and a copy is sent to you. Solara Pet Imaging does not provide real-time monitoring or emergency notification of findings. Your veterinarian is responsible for reviewing the report and discussing the findings and next steps with you. If your pet's condition worsens at any time, contact your veterinarian or the nearest emergency veterinary hospital; do not wait for a report.

10. Limitation of Liability

Limitation of Liability — Solara Pet Imaging LLC

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE FLORIDA LAW, SOLARA PET IMAGING LLC SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM OR RELATED TO YOUR USE OF OUR SERVICES, INCLUDING DAMAGES ARISING FROM RELIANCE ON A REPORT, DELAYED REPORT DELIVERY, EXAM CANCELLATION, OR PET INJURY UNRELATED TO OUR NEGLIGENCE.

Our total liability to you for any claim arising from or related to our services shall not exceed the amount you paid for the specific service giving rise to the claim.

This limitation does not apply to: (a) damages caused by our gross negligence or willful misconduct; (b) violations of applicable Florida consumer protection statutes; or (c) any liability that cannot be excluded or limited under applicable law.

We are not liable for clinical decisions made by you or your veterinarian based on our reports. Diagnosis and treatment decisions are solely the responsibility of a licensed veterinarian.

11. Indemnification

You agree to indemnify, defend, and hold harmless Solara Pet Imaging LLC, its members, contractors, and agents from and against third-party claims, liabilities, damages, and expenses (including reasonable attorneys' fees) arising directly from: (a) your material breach of these Terms of Service; (b) your intentional misconduct in connection with our services; or (c) your failure to disclose known dangerous animal behavior.

This indemnification does not extend to claims arising from our own negligence, willful misconduct, or failure to perform our obligations under these terms.

12. Community Care Program

The Solara Community Care program provides pro bono or reduced-cost imaging services to qualifying pet owners. Participation is subject to availability and our internal qualifying criteria.

Optional contributions collected at checkout are held in a designated fund and used exclusively for program costs including reading service fees and technologist compensation for pro bono cases. Contributions are non-refundable once applied to a Community Care case and are not tax-deductible. Contribution amounts do not guarantee a specific number of pro bono cases served. If you contribute, you may optionally consent to receiving a beneficiary story; this consent is separate and not required to complete your contribution. We will request a written release before using any beneficiary's story or image in marketing.

Solara Pet Imaging reserves the right to modify, suspend, or discontinue the Community Care program at any time. Unapplied contributions will be retained in the program fund for future qualifying cases or returned to contributors upon request.

13. Intellectual Property

All content on our website and in our reports, including text, design, and branding, is the property of Solara Pet Imaging LLC or our licensed partners. You may not reproduce, distribute, or use our content without prior written permission, except for personal, non-commercial use of your pet's radiologist report.

Your pet's radiologist report is provided for your personal veterinary use. You retain the right to share your pet's report with any licensed veterinarian for the purpose of clinical care, second opinions, or specialist referrals. These rights cannot be restricted by this Agreement.

14. Governing Law

These Terms of Service are governed by the laws of the State of Florida, without regard to conflict of law principles. Any disputes arising under these terms shall be resolved in the courts of Palm Beach County or Broward County, Florida, at our election.

15. Changes to These Terms

We reserve the right to modify these Terms of Service at any time. For material changes, including changes to pricing, refund policies, or your rights, we will provide reasonable advance notice by email to active customers before the changes take effect. Updated terms apply to bookings made after the effective date of the change. Any appointment confirmed under a prior version of these terms will be governed by those terms.

For non-material updates (such as clarifications, formatting, or contact information changes), the revised terms will be posted on our website with an updated effective date.
